3. Minutes of a members' meeting
An extract from the minutes of the meeting of Members containing a decision amending the Statutes and approving the new version of the Statutes. The minutes shall be signed by the head of the meeting and the minutes officer, but the correctness of the statement of minutes shall be certified by the Member of the board of directors in accordance with the type of representation rights of the members of the board of directors specified in the articles of association.
The document must specify:
- Name, registration number of the association
- Institution or person who has convened a meeting of members
- Meeting location and time (date)
- Date and type of meeting notification to members
- Number of members present at the meeting and total number of members of the Association
- Meeting Manager and Protocol Officer
- Items on the agenda of the meeting
- Progress and content of the discussion of agenda items
- Decisions taken in a meeting
- Results of the vote indicating the number of votes in favour or against for each decision
More than half of the members shall participate in a meeting of members on the agenda of which the amendment of the articles of association is subject, unless a higher quorum is specified in the articles of association.
